    Ok guys. You fought one fire too many and said enough's enough, our agency needs a process for this. So you made that beautiful SOP with all the links and had everyone dump everything from their brain... and yet... still nobody knows wtf is supposed to happen. You want to actually solve the problem, your process has to be 1. simple 2. usable 3. scalable. Easier said then done. I know, me, an ops/finance/leadership expert and I'm still saying it's tough. Why? Bc we're human! This is the work we want to just be done already so we can have the results, but we don't actually want to invest the time, discipline, or finances to do it well. So here’s the method that worked best for me growing an agency from startup to $10M with systems that actually stuck (& didn't suck 🤣 ). 🔍 Simple = clear. Simple ≠ basic. Start with a visual map. (Miro, Canva, or ClickUp all work great.) Something that helps your brain see the big picture before zooming into the steps. Then outline the process in a doc: » Each task » Who owns it » When it’s due (relative to the overall workflow) » Description + links to resources/templates » Checklist of actions » Subtasks + dependencies Your tasks should be your source of truth, where the process is integrated into the actual work. Great process documentation doesn’t have to be hunted down bc it's right in front of your face where the work happens. 💪🏽 Usable = actually followed. Usable ≠ I understand it, why don't you. Once the process is defined, build it into your PM platform as a template. Monday, ClickUp, Asana, Teamwork... take your pick, idc, but ideally use ONE. Then roll it out with patience. ↳ Host walkthroughs. Share the why, explain the goal, set expectations, & *walk* through the flow. Highly recommend multiple sessions for team-specific & role-specific nuances. ↳ Run a mock client exercise. Assign the full process like it's real and watch for friction. You'll catch gaps, errors, missing links, unclear instructions, before it goes live. ↳ (I know I'm a broken record but) Build accountability into the process. If something gets skipped, the workflow should stall. If you have to manage people through reminders and nudges, that's a flag the process isn't solid yet bc when it's clear and owned, the gaps reveal themselves. 📈 Scalable = evolves with you. Scalable ≠ reinventing the wheel. The process doc is your editable hub. When something needs to be changed, you should have roles responsible to update the doc, confirm with leadership or team, & apply the update to the task templates. Use a highlighting system in the doc to track: • Needs updating • Changed, not yet confirmed/approved • Approved + ready to go • Remove highlights once it's live in the system And that’s it. That's how to build a process that holds steady AND stays flexible. And when you do it this way, your processes support growth without burning people out along the way.

It enabled me to harness specialized expertise, guaranteeing precision and excellence across every project facet. It involves considering their skills, strengths, availability, and the nature of the task. Here's a step-by-step process to help you understand: 1. Understand the Task: Begin by thoroughly understanding the task or project at hand. What are the specific goals, requirements, and expected outcomes? 2. Assess Employee Skills: Evaluate each employee's skills, strengths, and areas of expertise. Consider their past performance, training, and experience in similar tasks. 3. Match Skills to Task: Compare the skills required for the task with the skills possessed by each employee. Aim to match the employee's strengths to the task's demands. 4. Check Availability: Check the workload and availability of each employee. Avoid overburdening employees who are already busy with other tasks. Balance the workload to prevent burnout. 5.     Welcome to the first #Automation Alphabet on Linkedin. Today; I had trouble finding anything related to AMRs starting with the letter J… But here it is: J- like Job scheduling As always, starting with a definition: Job scheduling for Autonomous Mobile Robots (AMRs) involves allocating and prioritizing tasks or "jobs" that AMRs need to perform within a defined workspace, such as a warehouse, manufacturing floor, or healthcare facility. In a larger scope this means to define the perimeter of work that the robot is doing; that’s the groundwork. But there is also a second layer which can impact performance quite a lot. The distribution of tasks and orders/ transport jobs that have to be done day in day out… Who is deciding which robot takes what pallet? And when? How is prioritization done? Here are the main takeaways: 1. Task Assignment Job Allocation: Jobs can include specific tasks like picking up materials, delivering items to a workstation, or scanning inventory. Job scheduling decides which AMR is assigned to which task based on factors like proximity, availability, and battery level. Task Priority: Some tasks may have higher priority (e.g., delivering materials to an assembly line) and need to be scheduled first. Prioritization ensures time-sensitive tasks are completed within their required timeframes. Dynamic Task Allocation: In dynamic environments, task requirements may change due to delays, obstacles, or urgent requests. AMRs should be rescheduled dynamically to adapt to these conditions, maintaining an optimal workflow. 2. Optimization Goals Minimizing Travel Time: Reducing the distance each AMR needs to travel to complete its tasks, which saves energy and minimizes wear on the robot. Energy Efficiency: Balancing AMR tasks so that robots with low battery levels are scheduled for shorter tasks or sent for recharging if necessary. Collision Avoidance and Congestion Management: Scheduling needs to consider paths of other robots and any stationary obstacles, avoiding potential bottlenecks and collisions. 3. Multi-Robot Coordination Swarm Intelligence: In environments with multiple AMRs, coordination and synchronization are crucial. Job scheduling should minimize instances where AMRs are idle or waiting for other robots to complete tasks. 4. Resource Constraints Battery Management: The schedule should account for battery levels, ensuring that AMRs can complete assigned jobs before needing a recharge. Station and Docking Resource Availability: In cases where AMRs have designated docking or storage points, the job scheduling may also need to include queue management for these resources.     I used to assign tasks one by one. Manually. Repeatedly. Every. Single. Time. Until I learned how to automate task assignments inside my CRM. Now, Tasks get assigned to the right person at the right time, without me lifting a finger. Here’s how I set it up and how you can too: 🔹 Create your sales or project stages First, I defined my process,like "New Lead," "Follow-Up," "Proposal Sent," etc. This helps trigger tasks based on progress. 🔹 Set rules for each stage For example: 👉 When a deal moves to "Follow-Up," assign a call task to the sales rep. 👉 When a deal hits "Proposal Sent," assign a review task to the manager. 🔹 Use automation or workflow tools inside your CRM Most CRMs like ClickUp, HubSpot, Zoho, and Monday let you set automation like: “If stage changes → then assign task to [Person] with [Due Date].” 🔹 Add task templates If the same tasks repeat, I saved templates. That way, every new deal or client gets the same checklist, automatically. 🔹 Include due dates and priorities Automation isn’t just about assigning, it’s about making tasks actionable. I added due dates, tags, and reminders. 🔹 Test and adjust I ran a few test leads to see how tasks flowed. A few tweaks later, the process now runs on its own. Now, no one waits for instructions. Tasks go out instantly.     Is your PMO spending too much time assigning work? . . . That’s usually a sign the system isn’t designed properly. Most times we treat the PMO as a traffic controller. Every request that comes in, someone reviews it, and then we manually route it to the right person! This mechanism works for small teams, but it is a problem at scale.. So how to designs ownership logic into the system. Here’s how I would design this layer.. 3️⃣ Ownership Routing The usual problem is every task requires manual assignment. And ownership depends on someone remembering who should take it. That slows execution and creates unnecessary coordination work. 🔰 The right way to build: Define clear ownership rules based on work type. For example: ✔️ Security reviews → Security team ✔️ Architecture decisions → Solution architect ✔️ Stakeholder approvals → Project owners With better clarity, you will be enabled to route work to the right owner automatically. ⬆️ How I’d use ClickUp Using the Resource Plan and task structure from the PMO Starter Kit(https://lnkd.in/gvdc5iNf) Define key roles such as: ▪️ Project Manager ▪️ Solution Architect ▪️ Developer ▪️ QA Lead Then configure assignment logic inside ClickUp: ➖ Tasks created in a specific List → assigned to the responsible role ➖ Task type or field value → determines the owner ➖ Workflow stage → routes work to the next responsible person This reduces manual coordination and keeps ownership consistent. You are no longer acting as a dispatcher, you are embedding accountability in the system!     How to distribute the work assignments to each and every staff according to the size of the company? Small Company (1-50 employees) In small companies, the organizational structure is often flat, and employees are expected to wear multiple hats. Here’s how to assign work: Since employees may handle multiple responsibilities, clearly define core roles to avoid confusion. Ensure each person knows their primary responsibilities, but also be open to flexibility. Understand each employee’s skill set, preferences, and career goals. Assign tasks based on strengths, but also consider providing opportunities for cross-functional experience to promote growth. 2. Medium-Sized Company (50-500 employees) In medium-sized companies, more specialized roles are likely, and there may be multiple levels of management. To distribute work effectively, consider the following: Divide the company into departments (e.g., marketing, sales, HR, operations). Within each department, assign tasks to employees based on their specialized skills and current workload. Each department should have clear leadership (managers or team leads) to oversee task delegation. In larger teams, project managers can help distribute and track tasks for specific projects. Large Company (500+ employees) In large companies, the workforce is usually highly specialized, and there are multiple layers of hierarchy. Efficient task distribution requires a more structured approach: Work should be divided based on the levels of management and specialization. Senior leadership sets high-level goals, middle management organizes the execution, and line managers or team leads assign specific tasks to individual employees. Example of Task Distribution in Different Company Sizes Small Company: CEO: Strategic vision, overseeing all departments. Marketing Lead: Managing social media, content creation, and email campaigns. Operations Lead: Handling logistics, supplier management, and production. Employee 1: Sales calls, customer service, ad hoc administrative tasks. Employee 2: Marketing support, project coordination, research. Medium Company: Department Heads (HR, Marketing, Finance, etc.): Oversee their specific departments and provide guidance to team leads.
