Essential Duties
- Model appropriate behavior conducive to a positive working and therapeutic environment.
- Observe all rules of confidentiality as they pertain to program participants both internally and in working with outside individuals and/or agencies.
- Proactively initiate and follow-through with tasks utilizing appropriate problem-solving techniques to facilitate communication flow and prompt resolutions.
- Create, maintain, and adjust client-related service appointments.
- Create, maintain, and adjust provider calendars within approved parameters.
- Seek positive solutions and engage in active problem solving for determining and balancing the scheduling priorities related to clients’ needs with provider recommendations and preferences.
- Identify and communicate need for scheduling modifications and development.
- Notify appropriate individuals of scheduling changes for client related service appointments in a timely and professional manner.
- Receive and respond to client and staff scheduling requests, involving respective members of leadership as needed.
- Monitor, evaluate, and communicate scheduling key performance indicators to proactively address and improve scheduling processes (reduce cancelations, increase billable productivity, lean processes, audit, etc.).
- A thorough understanding of scheduling software and proficiency in Microsoft Excel are essential. Additionally, strong critical thinking skills are required to effectively address technical challenges related to computer systems and software.
- Serve as back up to the Office Support Team for clerical and administrative tasks as directed by the Scheduling Supervisor .
- Attend staff meetings, orientations, and in-service training as assigned.
- Provide scheduling reports to leadership.
- Other duties as assigned by the Scheduling Supervisor.
- Ability to work onsite for 3–6 weeks for initial training and onboarding.
- High School diploma, GED, or equivalent
