Job Title: Project Coordinator / Sample Coordinator

The team at Edge Staffing has partnered with a great client north of Boston who is seeking a highly organized and proactive Project Coordinator / Sample Coordinator to join their fast-moving, collaborative team in the consumer products industry.


This is a hands-on role at the center of a cross-functional operation, ideal for someone who thrives on keeping things running smoothly from start to finish.


About the Role

This position serves as the central hub for all product sample activity — from intake and organization to outbound shipments and sales support. You'll work closely with teams across Quality, Design, Purchasing, Sales, and overseas vendors to ensure samples are tracked, organized, and delivered on time throughout the product lifecycle.


What You'll Be Doing

Sample Flow Management You'll track and manage all incoming and outgoing product samples across active orders, coordinate inbound receipts and internal distribution, arrange replacement shipments in partnership with the Quality team, and maintain accurate sample check-in/check-out logs.

In-House Sample Organization & Control You'll build and implement a structured sample storage system, owning the organization, labeling, categorization, and traceability of all samples. You'll establish standards for tracking and storage, and conduct periodic audits to ensure records match physical inventory.

Schedule & Order Coordination You'll own sample timing for active orders and communicate updates to both internal and overseas teams, monitor readiness and testing progress against order timelines, identify risks or delays, and proactively escalate issues as needed. This includes occasional early or late communication to accommodate different time zones.

Cross-Functional & Sales Support You'll serve as the central point of contact for sample status and availability, coordinating across Quality, Design, Purchasing, Sales, vendors, and testing labs. You'll also organize and prepare samples for sales meetings, customer presentations, and trade shows.


What We're Looking For

  • The ideal candidate has experience managing orders, schedules, inventory, or materials tracking, along with strong organizational skills and sharp attention to detail.
  • You should be comfortable juggling multiple timelines at once and communicating clearly — both in writing and verbally — with internal teams and overseas partners.
  • A college degree is not required; relevant hands-on experience is what matters most. Background in consumer products, product development, quality assurance, or supply chain is a plus, as is proficiency in Excel or similar tracking tools.


Physical Requirements

This is an active, physical role. Candidates should be comfortable lifting and moving boxes up to 50 lbs, using basic hand tools, assisting with light assembly or breakdown, and moving between office and storage areas throughout the day.
