Job Title: Executive Administrative Assistant II

Location: Irvine, CA (Hybrid – M/W/Thu on-site)

Duration: 12-Month Assignment

Pay: $30-$35 / HR


Company Overview

On behalf of our client, a global leader in data storage solutions, we are seeking an Executive Administrative Assistant II to join our team. You will provide high-level administrative and clerical support to executive and director-level leadership. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced corporate environment. The ideal candidate is proactive, detail-oriented, and comfortable interacting with stakeholders across all levels of the organization.


Key Responsibilities

  • Manage complex executive calendars, scheduling meetings, appointments, and travel arrangements
  • Coordinate domestic and international travel, including itineraries and expense reporting
  • Prepare correspondence, reports, presentations, and statistical summaries
  • Screen and manage phone calls, emails, mail, and visitors; route inquiries appropriately
  • Support space planning, office organization, and special projects
  • Supervise and coordinate clerical staff when applicable
  • Conduct research and compile information for executive review
  • Assist with budget tracking and financial reporting activities
  • Maintain confidentiality and exercise discretion in handling sensitive information


Required Qualifications

  • Minimum 5 years of administrative support experience
  • At least 2–3 years supporting executive or director-level leadership
  • Strong executive calendar and schedule management experience
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Experience with travel coordination and expense management
  • Excellent written and verbal communication skills
  • Strong organizational skills and attention to detail
  • Ability to manage confidential information with discretion
  • Experience coordinating across teams and stakeholders


Preferred Qualifications

  • Project management or coordination experience
  • Budget tracking or financial reporting experience
  • Familiarity with enterprise tools such as SAP, Workday, or ServiceNow
  • Associate’s or Bachelor’s degree preferred (or equivalent combination of education and experience)
