Workflows

Hello team,Do Intercom have to option to change the sound for the ring when receiving the phone calls?Thank you

B2B SaaS company here. As it stands, when someone wants to add more seats to their shop, they have to chat in, we send them off to their CSM, they add the information to hubspot and send the customer off to finance, and then they send them to dev to add additional seats on the customer’s site. There has to be an automated way to do this, no? I totally welcome all thoughts here. thank you!

I was looking at functionality which points out and flags potential duplicate conversations and I was wondering if it was possible to either..Extend its existing functionality to do other arbitrary things (like tagging/closing conversations, sending webhooks, etc..). Maybe Intercom provides an interface or API to do this though I haven’t seen it. Reproduce this duplicate conversation flagging behavior without necessarily having direct access to Intercom’s own implementation (unless Intercom is willing to provide access to this). I’m guessing there might be a set of APIs that could make this possible but using them might introduce delays in the system that could result in unattended side-effects/race conditions.

Hello everyone,I would like to ask for your support and ideas to help resolve an issue I have been facing for some time regarding our service SLAs.We currently work with different SLAs depending on the type of request. In many cases, a ticket that starts as a general inquiry ends up becoming an error or incident, so I need to change the SLA to the one applied to errors, since it allows more time for resolution. However, in the SLA configuration, I set the system to disregard the time when the ticket is snoozed or waiting for the customer. The issue arises at the moment I change the SLA to another one: the period that was previously disregarded while the ticket was paused is no longer excluded in the new SLA. Instead, the system starts counting from the original opening date without applying any discount for the paused time. This has a direct impact on our reports, as it makes the SLA appear much more delayed than it actually is. It also reduces the available time to handle the ticket pro

Hi everyone,When support volume suddenly spikes, I’ve noticed it becomes harder to keep response times consistent, even with automation and routing in place. Conversations pile up quickly, and it’s not always clear which steps should be handled automatically versus manually. This came up in a discussion where someone mentioned structuring execution logic outside the main tool, like deltaexector.com, which made me think more broadly about handling load and prioritization. How do you usually manage high-volume periods without sacrificing response quality or burning out the team?Do you lean more on automation, temporary rules, or external helpers to keep things moving smoothly? Would love to hear what’s worked for others.

Hello,Currently, our team primarily uses conversations for the majority of our Intercom interactions, and Fin triages all incoming cases first. We would like to create a process wherein any time a conversation is escalated from Fin to a human team, it is also converted to a ticket. This is because our Fin deployment is at a point where if anything is escalated, it is likely complex and will take time to resolve. This doesn’t seem to be possible with existing workflows, since the “convert to ticket” action only works when a customer sends their first message. We also do not want all emails to be converted to tickets - Fin handles both email and chat. The conversion should only happen when there’s an escalation.Has anyone in a similar situation found a good solution to streamline this process?

I currently have a custom workflow where when a conversation is set to Closed that a CSAT survey is sent out.  No problem here. Now I want to instead send out that CSAT survey when a teammate changes the ticket state to Closed. In creating a workflow for this, I have a “If teammate changes the state of a ticket” trigger in there first, but I only want the path to execute if the ticket state becomes Closed.  I tried putting an Apply Rules element into the path, and a rule where the condition is ‘Ticket state is Closed’, but the ‘Ask for Conversation Rating’ action is not available, and the rule requires an action. Can I just add any action, then add the CSAT step, and have the workflow send out the CSAT only when the ticket state is changed to Closed by a teammate?  Or is there a different way this workflow needs to be set up?

Hi guys, I’m wondering if agents can send our customers a calendar feature for them to book a onboarding call but something that’s built in Intercom rather than a external calendar app, I haven’t seen it yet, is there such a feature already?Thank you in advance

I am trying to access the agents that are working in my organizations to replicate our reports in the reporting tab of intercom. We have created interesting reports with FRT, closed tickets, open tickets etc. However, instead of using the reports in intercom, I would like to get the same using the API.Now the problem I am facing is that I can only get myself and FIN rather than access to all the other agents working in the organization. Can you please guide me in what I might be doing wrong.HEADERS = {"Authorization": f"Bearer {BEARER_TOKEN}","Accept": "application/json","Intercom-Version": "2.14"} # -------------------------------# FETCH ALL ADMINS# -------------------------------url = "https://api.intercom.io/admins" response = requests.get(url, headers=HEADERS)response.raise_for_status() # Will raise an error if request fails admins_data = response.json() # -------------------------------# PRINT ADMINS# -------------------------------for admin in admins_data.get("admins", []):print(

Hi there, I am starting with a very simply implementation. We are only using Facebook through socials to start (no web or mobile implementation.) We have a workflow that I want to run whenever someone opens a new conversation with us. I don’t want it to run the workflow for that person again until we close the conversation. Our workflow asks some basic questions and then assigns the conversation to me. I want to them communicate manually with the lead and then once I am done I want to close the conversation, and the next time they message us they get the workflow again.Thank you!

I am seeing a persistent error when trying to save and set live a specific, large inbound workflow in Intercom. Trigger: When customer opens a new conversation in the Messenger for Web, audience = Leads and Users. Symptoms: UI shows: “We couldn't set this workflow live. Send us a message and we'll do our best to help out.” at the top of the builder. Network tab shows the PUT request to /ember/matching_system/rulesets/{id} returning 502 Bad Gateway (nginx) when saving/setting live this workflow. The ruleset payload shows an ID, links, etc., but predicate_group, client_predicate_group, and default_predicate_group are empty arrays. Troubleshooting already done No red paths or visible validation errors anywhere in the workflow builder. Clicked Save and close first every time before trying Set live. Saving is also not working now. Before it was working file Tried: Incognito / private windows and multiple browsers. Clearing cookies and hard refresh. D

Ive noticed that my macros will sometimes be available for use and sometimes not. nots sure why this is as the settings allow for it to be used as new conversation, replying and notes.

Via Jira for Tickets, is it not possible to sync Intercom ticket status to Jira item status (Intercom → Jira)?I know you can do Jira → Intercom. I just assumed in the Intercom Workflow editor you’d be able to wire up the same going the other direction, but Im only seeing 2 actions that can be performed in Jira? Create Issue and Create Comment?

Hello,I have a data connector whose purpose is to find a custom object by its id. And it can return NULL if it finds nothing.I would like to branch a workflow depending on whether or not the data connector was successfull in finding the custom object, and it’s not very clear how I can achieve that.I tried to use the “branch” step with a condition saying that one of the (mandatory) fields of the custom object is “any value” or “is unknown” but that didn’t work. The branch step is behaving like the custom object is always there, even when my endpoint returned NULL. I think the data connector is creating an instance of the custom object in all scenarios. What could be the proper way to do that?

I'm looking for best practices, specific triggers, and action ideas to bring back users who haven’t interacted with our product in a while. checkout Should I focus on email campaigns, in-app messages, or a mix of both? Any examples of successful re-engagement workflows would be greatly appreciated!"

Has anyone built/use anything that syncs Intercom Notes into Salesforce Chatter? I’m relatively new to this world and wondering if this is possible out of the box or needs custom work.

Hello, I am currently working on a project wherein we want to add a note whenever a customer starts a conversation. The note will contain a URL based off the conversation ID. So if a customer creates conversation 1234, we will leave a note example.com/whatever/1234.It does not appear that the workflow “add a note” action allows me to populate the note with the value {{conversation.id}}.Is this something that would be possible to add support for? The only workaround I can think of is to create a custom action which POSTs the conversation ID to some API endpoint which responds with the ID, store the ID as a custom attribute, and then use that custom attribute in the note. This is less than straightforward and seems more difficult than simply referencing the ID directly from the “add a note” action. Is this something that Intercom can support?

Hi, im trying to send a message when a client does not answer to a bot. I´m sending a few options in buttons when the conversation starts, and I would like for the bot to identify if the customer hasn´t responded in 30 minutes and send them a “Are you still there?” message, then wait other 30 minutes and close the conversation if there still hasn´t been answered. Is something like this possible? Fin tells me you can´t send automatic messages if the client hasn´t responded to a conversation with the bot.

Hi,I would like to implement a workflow which is triggered when a conversation/ticket is created in a specific inbox, that triggers an api configured in data connector to fetch the information. Can this information sent by the api be added as a note to the ticket/conversation as shown below? How is the dataconnector’s success response data be sent as a note?

Hi everyoneI use the Aircall integration with Intercom. Normally, when we get a phone call, it creates a ticket from the call. And the person who picked up the call, was automated assigened to the ticket.Since this week, there is not. The new created tickets getting unassigened, no matter who picked up the call.Cant find any changes. Any one got similiar issues or has a fix?
